How does data retention and deletion work in Polyosync?

Data retention refers to how long information is stored. Data deletion refers to the removal of information through the relevant supported process. Both are important parts of responsible business data management. The applicable retention and deletion arrangements depend on the type of information, available platform functionality, contractual terms, and legal requirements. What types of information may require retention decisions? 1. Business profiles. 2. AI Employee conversations. 3. Persistent memory. 4. Workflow execution records. 5. Automation history. 6. Business process results. 7. Customer and lead information. 8. Documents and knowledge resources. 9. Integration-related information. 10. Administrative and security records. Does Polyosync own information because it is stored on the platform? No. Storing or processing customer business information does not transfer ownership of that information to Polyosync. Can organizations request deletion? Organizations can contact Polyosync Support to discuss available deletion procedures and the scope of a request. The specific process depends on the relevant data category and applicable requirements. Does deleting an account automatically remove every record immediately? Do not assume that all information is removed instantly or that every associated record follows the same deletion schedule. Certain information may remain subject to legitimate retention requirements, technical backup processes, or legal obligations. The applicable treatment should be determined by the relevant retention policy and contractual terms. What about AI conversations and persistent memory? These may represent different types of stored information. Deleting a conversation should not be assumed to remove every related memory record unless the relevant functionality explicitly provides that behavior. What about external AI providers? Information processed by external AI providers may be subject to separate provider retention arrangements. Those arrangements depend on the specific service and applicable contractual terms. What about external integrations? Deleting information from Polyosync does not necessarily delete corresponding records in an external CRM, email service, or other connected system. The external provider may have its own retention and deletion procedures. What should be included in a deletion request? Provide: 1. The relevant organization or workspace. 2. The category of information involved. 3. The requested scope. 4. Whether the request concerns specific records or account-level information. 5. Any applicable legal or contractual requirements. Avoid including unnecessary sensitive data in the request. Recommended approach Organizations should maintain an appropriate retention policy and understand that application records, backups, and third-party systems may have different deletion processes.
