What data protection principles guide Polyosync, and how should Enterprise customers govern their information?

Polyosync's approach to business data is based on a straightforward principle: customer business information belongs to the customer. Polyosync provides AI workforce, collaboration, automation, and business process technology to help organizations use their information for authorized business operations. The platform is not intended to operate as a business data marketplace. Our core principles 1. Customer ownership. Business information remains the organization's information. Using Polyosync does not transfer ownership of customer business data to the platform. 2. No data selling. Polyosync does not sell customer business information. Customer records, conversations, and operational information are not treated as datasets for commercial resale. 3. No Polyosync model training on customer data. Polyosync does not use customer business data or conversations to train its own AI models. 4. Purpose-driven processing. Business information is processed to support relevant platform functionality and authorized operations. 5. Responsible third-party processing. Polyosync uses external technology providers, including OpenAI and potentially other AI providers, to support AI-powered services. Their handling of information depends on the applicable service and contractual arrangements. 6. Controlled access. Users and AI Employees should operate within their authorized business environments and permissions. 7. Data minimization. Organizations should avoid exposing information that is unnecessary for the intended operation. 8. Appropriate governance. Sensitive activities should be reviewed according to their business and regulatory risks. 9. Accountability. Organizations should maintain clear responsibility for access, integrations, workflows, and information management. 10. Transparency. Customers should be able to understand the distinction between Polyosync's own data-use policy and processing performed by external service providers. How should Enterprise organizations apply these principles? Step 1: Identify the information processed through Polyosync. Step 2: Classify sensitive and regulated information. Step 3: Determine the legal basis for relevant personal data processing. Step 4: Define the responsibilities of users and AI Employees. Step 5: Review workspace and organization boundaries. Step 6: Review external integration permissions. Step 7: Identify AI operations that involve sensitive information. Step 8: Establish appropriate human oversight. Step 9: Review retention and deletion requirements. Step 10: Assess third-party processing arrangements. Step 11: Establish procedures for privacy requests. Step 12: Review the configuration as business operations evolve. Does Polyosync's no-training policy eliminate all privacy risks? No. Privacy risks can arise from access permissions, external integrations, inappropriate data sharing, configuration errors, or other processing activities. A no-training policy addresses one important concern but does not replace comprehensive information governance. Does Polyosync guarantee that every third-party provider follows identical data policies? No such assumption should be made. Provider obligations depend on the specific service and applicable agreements. Organizations with strict requirements should review the relevant processing arrangements. Does the organization remain responsible for its customer information? Organizations remain responsible for their own legal obligations and authorized use of the platform. Polyosync's responsibilities are determined by the relevant services, contracts, and applicable law. Our position Your business data is yours. Polyosync does not sell it. Polyosync does not use it to train its own AI models. We provide the technology to help your business operate, while external AI processing is governed by the relevant service and contractual arrangements.
