How do human approvals and governance policies control sensitive AI actions?

Human approval and governance policies help organizations maintain control over AI-powered operations that require additional oversight. Not every business action carries the same level of risk. Routine activities may be suitable for automation, while other actions require review by an authorized person before they proceed. Polyosync includes Enterprise governance and human approval capabilities. The exact policies and approval behavior available depend on the implemented functionality and organization configuration. What is a governance policy? A governance policy establishes rules or conditions governing how an operation may be performed. These rules can address matters such as authorization, approval requirements, execution boundaries, or other operational safeguards. What is human approval? Human approval is a mechanism through which an authorized person reviews an action before it proceeds, where the relevant approval workflow is supported and configured. This allows organizations to retain human decision-making authority over selected operations. When should approval be considered? Examples of potentially sensitive activities include: 1. Modifying important financial records. 2. Deleting significant business information. 3. Changing critical operational settings. 4. Performing consequential external actions. 5. Handling exceptional customer requests. 6. Executing actions outside normal business rules. 7. Accessing or disclosing sensitive information. 8. Performing operations with irreversible consequences. These are examples of activities that may justify approval controls. They are not a guarantee that every listed action has a dedicated built-in approval policy. How do approvals relate to AI Employees? An AI Employee may be able to prepare or request an operation. However, where a configured policy requires approval, the operation must follow the applicable authorization and approval process. An AI Employee should not be assumed to have permission to bypass governance requirements. How do approvals relate to autonomous workflows? Autonomous workflows may involve multiple steps and decisions. Where supported, governance controls can introduce oversight for sensitive stages rather than treating every step as unrestricted execution. Can an approval override a missing permission? No such assumption should be made. Permission checks and approval policies are different controls. An approval should not automatically be treated as authorization to bypass workspace boundaries or other security requirements. What should administrators consider when establishing approval procedures? Step 1: Identify sensitive business actions. Step 2: Determine which risks require additional oversight. Step 3: Identify appropriate human decision-makers. Step 4: Review the available governance controls. Step 5: Configure supported approval requirements. Step 6: Verify the relevant user permissions. Step 7: Test representative approval scenarios. Step 8: Review the results and any associated records. Step 9: Update the procedures when operational requirements change. Does human approval guarantee the correct outcome? No. Approval adds accountability and oversight but does not eliminate the possibility of human or technical error. Approvers should have sufficient information to make an informed decision. Recommended approach Apply approval requirements according to business risk and maintain clear responsibility for consequential decisions. The objective is controlled autonomy, not unnecessary approval of every routine action.
