How do I assign the correct role when inviting an Enterprise team member?

Assigning an appropriate role is an important part of managing access within a Polyosync Enterprise workspace. A role should reflect the employee's actual responsibilities and the operations they need to perform. Polyosync Enterprise supports role selection during the team invitation process. How to assign a role Step 1: Open the relevant Enterprise workspace. Step 2: Navigate to the available team management settings. Step 3: Locate the invitation functionality. Step 4: Enter the employee's email address. Step 5: Provide the employee's name where applicable. Step 6: Select or enter the relevant department information. Step 7: Choose the appropriate role. The available Enterprise roles are Member, Manager, AI Admin, Security Admin, Admin, and Viewer. Step 8: Review the invitation details. Step 9: Submit the invitation. Step 10: Confirm that the invitation has been processed. How should I choose the correct role? Begin by identifying what the employee needs to accomplish. Consider the following questions: 1. Does the employee only need to review information? 2. Will they participate in everyday business operations? 3. Are they responsible for managing other employees? 4. Do they administer AI employees or AI-related configuration? 5. Are they responsible for security administration? 6. Do they require broader workspace administration? 7. Which specific operations must they be authorized to perform? The selected role should provide the required level of access without introducing unnecessary privileges. What is the principle of least privilege? Least privilege means granting users only the permissions required to perform their assigned responsibilities. For example, a person who only needs to review operational information should not automatically receive broad administrative access. Does a role title guarantee access to every function associated with that responsibility? Not necessarily. The exact permissions available depend on the implemented authorization rules. If an employee cannot perform an expected operation, administrators should review the relevant permissions rather than assuming that the role name guarantees access. Should employees share accounts? No. Each employee should use their own authorized account. Individual accounts support clearer responsibility, access management, and operational accountability. What happens if an employee receives the wrong role? An authorized administrator should review the assignment and use the supported team management functionality to correct it. If the appropriate modification is unavailable, contact Polyosync Support. Recommended approach Define responsibilities first, select the appropriate role second, and verify the resulting access before the employee begins important operational activities.
