Does Polyosync automatically synchronize data with my CRM?

Connecting a CRM to Polyosync does not necessarily mean that all CRM records are automatically synchronized. A connection establishes the authorization required for supported operations, but the way information is exchanged depends on the integration and its configuration. It is important to distinguish between accessing CRM information and maintaining a synchronized copy of CRM data. What is the difference? Data access An integration may retrieve information from an external CRM when a supported operation is performed. Data modification An integration may create or update external records if the relevant write operations are implemented and authorized. Data synchronization Synchronization involves keeping information consistent between systems according to a defined process. Synchronization may be one-way or two-way and may operate according to specific triggers or schedules. These are different capabilities and should not be assumed to be interchangeable. Does every CRM integration support synchronization? No. Synchronization support must be verified for the specific integration. Can changes in my CRM automatically trigger Polyosync workflows? This depends on whether the integration supports the required event, trigger, or other mechanism. Not every provider exposes the same capabilities. Can Polyosync automatically update CRM records? Only when the relevant operation is supported and appropriately configured. Does Polyosync maintain a complete local copy of my CRM? Do not assume that a complete local copy exists. Data storage and processing depend on the integration implementation and the operations performed. How should I plan a synchronization requirement? Step 1: Identify the data involved. Determine which records and fields must be exchanged. Step 2: Define the direction of information flow. Specify whether information should move from the CRM to Polyosync, from Polyosync to the CRM, or in both directions. Step 3: Define when updates are required. Determine whether the business process requires immediate updates, scheduled processing, or another supported mechanism. Step 4: Establish a source of truth. Identify which system is authoritative for each record or field. Step 5: Consider duplicate and conflicting records. Define how your business should handle repeated information or inconsistent values. Step 6: Verify the available integration capabilities. Confirm that the required data operations and update mechanisms are actually supported. Step 7: Test the process. Use controlled records to verify the expected behavior. What happens if the CRM is temporarily unavailable? Operations that depend on the external service may fail or be delayed. The handling of failed operations depends on the workflow implementation. Are synchronization delays possible? Yes. External API limits, provider availability, processing requirements, and integration behavior may affect when information becomes available. Recommended practice Define the exact synchronization requirement before configuring the workflow. Avoid assuming that a connected CRM provides automatic, real-time, bidirectional synchronization. Verify the behavior of the specific integration before relying on it for business-critical information.
