When should an AI Employee transfer a task or conversation to a human?

An AI Employee should involve a human when a request falls outside its configured authority, cannot be completed reliably, or requires a decision that the business has reserved for an authorized person. The objective is to ensure that automation remains useful without allowing AI Employees to make unsupported commitments or exceed operational boundaries. What situations may require Human Handoff? Common examples include: 1. A customer explicitly requests to speak with a human. 2. An AI Employee encounters a request outside its assigned responsibilities. 3. Important information is missing or contradictory. 4. A business action requires managerial approval. 5. A customer disputes a decision or requests an exception. 6. A financial commitment requires authorization. 7. A connected system returns an error that cannot be resolved automatically. 8. A sensitive or high-impact decision requires human judgment. 9. A workflow encounters an unexpected situation. 10. The AI Employee cannot determine a reliable next action. Does every complex request require handoff? Not necessarily. Some complex tasks can be handled through AI Collaboration, where one AI Employee requests assistance from another AI Employee with relevant responsibilities. However, collaboration between AI Employees is not a substitute for human authorization when a business decision specifically requires it. Can businesses define their own handoff requirements? Businesses should establish clear operational policies identifying which situations may be handled automatically and which require human intervention. The exact enforcement depends on the configuration and supported handoff mechanisms. What happens when information is incomplete? An AI Employee may first attempt to collect missing information if that is within its assigned responsibilities. If the missing information cannot be obtained or the request remains ambiguous, human involvement may be appropriate. What about financial or contractual decisions? Actions involving refunds, contract changes, unusual discounts, financial commitments, or exceptions to business policy should respect the organization's approval rules. An AI Employee should not assume authority that has not been granted. What is the recommended approach? Define handoff conditions based on operational risk, authorization requirements, and the consequences of an incorrect action. A well-designed process allows routine activities to continue efficiently while directing exceptional situations to the appropriate people. The goal is not to minimize human involvement at all costs. It is to involve humans where their judgment, authority, or expertise adds value.
