Why are my Polyosync support emails delayed or arriving more than once?

Support-related emails may occasionally arrive later than expected or appear more than once. These symptoms can result from different causes and should be investigated separately. Why might an email be delayed? Possible causes include: 1. Temporary delays in email delivery infrastructure. 2. Mailbox provider processing. 3. Organizational spam or security filtering. 4. Temporary delivery retries. 5. Notification processing delays. 6. Mail server restrictions or rate limits. A delayed email does not necessarily indicate that the underlying support ticket was delayed. Why might duplicate emails appear? Possible explanations include: 1. Multiple notification events associated with the same ticket. 2. Several ticket updates occurring close together. 3. Mailbox forwarding or distribution rules. 4. Duplicate delivery caused by an email processing issue. 5. Multiple contact arrangements that route messages into the same inbox. How can I investigate? 1. Compare the subject lines of the messages. 2. Check whether they reference the same ticket. 3. Review their timestamps. 4. Determine whether the message content is identical. 5. Check for forwarding or mailbox rules. 6. Review the corresponding ticket activity. What if the email says my ticket changed but the interface looks unchanged? Refresh the ticket details and confirm the latest status. Some notification events may concern messages or administrative activity rather than a visible status change. Should I reply to each duplicate email? No. Use the relevant support ticket as the primary communication record. What should I report to Support? Include the affected ticket reference, approximate delivery times, the number of duplicate messages, and whether the problem happens repeatedly. If providing email headers for investigation, review them for sensitive information before sharing. Recommended practice Compare the notification content with actual ticket activity before assuming that multiple emails represent multiple support requests.
